Customers and suppliers

The Entities page is your directory of the businesses and people you work with: your customers and your suppliers. Anything stored here can be reused: pick a customer when creating an invoice or a proforma, or a supplier when recording an expense, instead of retyping their details every time.

Adding a customer or supplier​

You need surprisingly little to get started:

  • Name: the legal or commercial name that should appear on the document.
  • Country: required, because it decides how the document is treated for tax purposes.

Everything else is optional but worth filling in:

  • Fiscal ID (VAT number, NIF, VIES VAT ID…): needed for a valid B2B invoice in most countries. uninvoice.app warns you when you invoice someone without one, but lets you continue.
  • Address: street, city, postal code, state.
  • Currency: the currency you normally bill this customer in. It becomes the default when you create a document for them, and you can still change it per document.

Giving a customer its own invoice template​

Each customer can carry its own invoice template: extra text under the totals, a different footer, and extra placeholders. Leave it blank and the customer simply inherits your company template.

Details are frozen onto documents​

When you create an invoice, the customer's details as they are at that moment are copied onto the document. Correcting an address later fixes future invoices; it never rewrites one you already created. That is deliberate: an invoice must keep saying what it said when it was issued.

Deleting is safe​

You can delete a customer or supplier from the row's actions menu, or several at once by selecting them in the list first.

Because every document froze its own copy of the details, deleting is safe: the invoices and expenses already recorded for them read exactly the same afterwards. What you remove is their future use: they stop appearing in the directory and can no longer be picked when creating a new document.
